A Global leader gaming  Operator are looking for an Office Manager to be based in their brand-new Ceuta office.

You’ll be Reporting into the Spain General Manager, this is a key position in managing their site in Ceuta with specific responsibility for the smooth workspace operation and service delivery of the Ceuta office.

 

Why we need you:

As the Office Manager, you will manage all PPM & reactive works, ensuring the PPMs are complete on time within SLA time-frames. Ensure Service Inspections & Statutory Inspections are carried out in detail, documented, & executed in a timely & efficient manner issues actioned promptly

 

Other responsibilities include:

  • Development and implementation of workspace policies in line with the global workspace group, with the principle of simplification.
  • Partner with the internal Projects team to deliver projects, from small refreshes to large build-outs, when applicable.
  • Performance manage, develop, train and ensure effectiveness of the local workspace team.
  • Implementing and managing HSSE procedures working with the HSSE team to deliver a healthy and safe working environment.
  • Work with the Business Continuity team to ensure that we can effectively manage any event that may disrupt our core business activities
  • Development and implementation of workplace initiatives which promote a positive working environment and employee wellbeing.
  • Conduct and document regular office inspections, complete daily scheduled checks of all office areas and be pro-active in the pursuit of workplace cleanliness and efficiency.
  • Plan and manage all workplace services incl reception, security, access control, vending, parking etc.
  • Plan and coordinate single and multiple desk moves including desk allocation and liaison with move contractors as required;
  • Liaise with Landlords agents, maintenance personnel and reception team.
  • Raise purchase orders and reconciling invoices.
  • Assist with meeting and travel arrangements for the local leadership team.
  • Manage and coordinate meeting rooms and equipment as necessary.
  • Order lunch and support other office related events.
  • Deal with all office related administration, including accounts/invoicing, minutes of meetings, move sheets, scanning and filing of leases and other relevant documentation.

 

Who we are looking for:

An experienced Office Manager, used to working in a fast-paced working environment. You will have detailed knowledge of and strong experience in building services and maintenance, construction, and property management. You will be solution orientated with the ability to work under pressure and resolve business critical issues that arise during core operational hours and outside of these hours. Similarly, you will have a dynamic approach to continuous improvement & proven ability in implementing change management.

 

As the ideal candidate, you will have:

  • Proven experience in facilities/property management
  • Working knowledge of principles and practices of customer service
  • Working knowledge of principles and practices of project management
  • Working knowledge of procurement and contracts
  • Working knowledge of health, safety and environmental regulations
  • MS Office, Microsoft 365, CAFM, Access control and Visitor Management systems, CCTV
